Unite communication. Simplify collaboration. Secure the future.
What is UCaaS?
Unified Communication as a Service – rethinking communication in the cloud.
Unified Communication as a Service (UCaaS) is a cloud-based solution that bundles all communication services such as telephony, video conferencing, chat and collaboration tools in one platform. Instead of expensive hardware, companies use UCaaS flexibly and scalably – without any investment costs.
UCaaS is an important part of the digital transformation of companies. Digitizing the telephone system in the cloud is only the first step. With UCaaS, you can map corporate communication and teamwork in a single interface. Unified Communication as a Service (UCaaS) offers numerous applications and services for communication and collaboration.
Application examples:
- Instant messaging (IM)
- Online conferences
- Telephony & video meetings
- Contact center functions incl. IVR
- CRM integration & automatic call transfer
The use of UCaaS offers high flexibility and scalability for central tasks in the company.
Problem:
Many companies struggle with scattered communication channels, security risks from third-party software and high investment costs for outdated systems.
Solution:
UCaaS bundles all communication services centrally, reduces costs and creates a secure, scalable infrastructure – ideal for modern collaboration.

Explained by experts:
Why UCaaS?
Some companies, especially smaller companies, use UCaaS to avoid investment costs (capex). They prefer a flexible and operating cost (Opex) model for their UC service.
With UCaaS, you can react quickly to the circumstances of your company without having to make large investments and complex adjustments to your company infrastructure. For example, if you need external staff for a project at short notice, you can simply add additional extensions for this period and remove them again once the project is complete. Thanks to the great scalability and flexibility of UCaaS, this is all standard.
What advantages does UCaaS offer?

More security
The elimination of the various communication applications also reduces security risks. As a user of UCaaS solutions, you no longer need additional freeware programs for your desired communication services, which can lead to security risks. All your applications run via a centrally administered unified communication client.
Lower costs
- No complex installations or proprietary hardware
- No regular maintenance
- Billing via monthly or annual subscription fees
- Savings through collaboration applications (travel costs, conference rooms)
- Video conferencing, screen and file sharing reduce additional costs
High flexibility
UCaaS solutions can be used anywhere and on any device connected to the Internet – ideal for field service or working from home.
- Access to platform via mobile hardware
- One phone number – whether in the office, at home or on the move
- Simple scaling for user changes
Time saving
UCaaS standardizes all communication channels in one system and stores all call histories and customer information in one database.
- No switching between applications
- Faster information search
- More efficient teamwork
Simplification of administration
Management of the system is simplified as you bundle your most important communication services – e-mail, telephone, messaging and conferencing – on a single platform.

Types of UCaaS architectures
If you prefer single-tenancy, you will receive a dedicated software platform that can be integrated and adapted to your on-site applications. Single-tenancy, also known as multi-instance, keeps customer data separate from each other and is therefore considered very secure and reliable. In the event of a failure of another customer’s software instances, your customer data remains unaffected.
Multi-tenancy is more cost-effective as customers share a single software platform (multi-tenancy) with extended support and increased redundancy. The UCaaS provider hosts this software instance in a data center and carries out all upgrades. However, multi-tenancy is more limited in terms of adaptability and flexibility than single-tenancy.
Hybrid solutions combine on-premise components with cloud applications. Reasons for this may be administrative or security-related requirements to keep certain applications at your own location, e.g. an existing PBX or internal systems.
Comparison table UCaaS models
| Model | Description | Advantage |
|---|---|---|
| Single-tenant | Separate instance per customer | Maximum security |
| Multi-tenant | Shared instance | Cost-effective |
| Hybrid | Mixture of cloud + on-site | Flexibility |

How to find the right UCaaS solution
The comparison is worthwhile:
With UCaaS solutions, there are significant differences in the technological approaches, cost structures, user-friendliness, functions offered, service level agreements (SLAs), available additional options and bundled products – such as video conferencing systems and collaboration platforms.
This is what you need to do:
- Define risks & requirements
- Analyze existing systems (firewalls, VPNs, clouds)
- Define target architecture & priorities
- Compare technologies: SASE, cloud access, hosting, cyber security
- Start proof of concept & implementation
What does a UCaaS solution cost?
The prices depend on the number of users and the selected application services.
