What is Microsoft Teams Phone and how does it work?

Microsoft Teams Phone integrates classic landline and mobile telephony directly into Microsoft Teams. Employees call from the familiar Teams interface with real phone numbers, internally and externally. Technically, voice transmission runs through the Microsoft cloud (Microsoft 365 Phone System) and a telecommunications provider. Instead of a separate PBX, all you need is a Teams licence, headset or certified device. Configuration covers number plan, routing rules and integration with existing systems such as reception or call centre.

Which Microsoft licences do I need for Teams Phone?

Each user needs at least a Microsoft Teams Phone licence (around 8 euros monthly) or a Microsoft 365 E5 plan that includes it. Add either a Microsoft Calling Plan (numbers and connections directly from Microsoft) or your own SIP trunk via Direct Routing. Optionally, licences exist for extended features such as Teams Phone Resource Accounts for call queues or auto attendants. SAVECALL clarifies the optimal licence bundle in the initial conversation, depending on your Microsoft 365 environment.

What is the difference between Microsoft Calling Plan and Direct Routing?

Microsoft Calling Plan sources numbers and connections directly from Microsoft, easy to set up but available only in selected countries and tends to cost more per minute. Direct Routing connects Teams to your own SIP trunk via a Session Border Controller (SBC). Benefits: existing numbers and contracts remain usable, significantly cheaper minute rates, international sites can be integrated and integration with existing PBX systems is possible. For most German companies, Direct Routing is the economically better option.

What does Microsoft Teams Phone cost per user?

A Teams Phone licence costs around 8 euros per user monthly. With Direct Routing and a SIP trunk from a carrier such as Placetel, Telekom or Colt, add 2 to 6 euros per user for connection and flat-rate tariffs. In total you land at 10 to 14 euros per user monthly for pure telephony. With existing Microsoft 365 E5, the separate Teams Phone licence is included. How quickly is Microsoft Teams Phone deployed?

A pure Calling Plan implementation with Microsoft numbers is productive within 1 to 2 weeks. Direct Routing with your own SIP trunk and porting of existing numbers typically takes 4 to 8 weeks, depending on porting deadlines and number of sites. For complex migrations with call centres, reception systems or multi-site rollouts, plan 8 to 16 weeks.
